On your device. VaultMind is local-first: your documents, notes, and records are saved in the app's private storage on your phone — not uploaded to our servers. Your vault stays on your hardware, under your control.

Your vault lives on your device and can be locked with Face ID or Touch ID, on top of your device's built-in data protection. When you create a backup, VaultMind encrypts your entire vault on the device first — using a recovery phrase that only you hold — so a backup only ever contains encrypted data that we cannot read. We never sell your data or use your documents for advertising.

Only if you choose to, and always encrypted. VaultMind can create an encrypted backup of your vault so you don't lose anything when you change phone or sign back in. Because it is encrypted on your device before it leaves, you can safely keep it in your own iCloud or Files — and only your recovery phrase can open it. There is no silent cloud sync; backups are yours to control.

As little as possible. We use a secure authentication service (Supabase) to manage your account sign-in — essentially your email — so you can create an account and log back in. We do not store the contents of your vault on our servers. If you turn on encrypted backup, only the encrypted (unreadable) backup is held so you can restore it on a new device.

When you add a document, VaultMind can use AI to suggest a name, file it into the right category, and detect expiry dates — so a scanned passport lands under Identity with a renewal reminder set automatically. To do this, the relevant document content is sent securely to our AI provider (Google Gemini) only to process that request; the results are saved on your device. Your documents are not stored on our servers and are never used for advertising.

Anything that matters: passports and IDs, contracts, certificates, insurance policies, warranties, receipts, medical letters, property documents, and more. Secure categories for identity, finance, property, health, and travel keep everything organised, and private notes cover the details that are not documents at all.

VaultMind detects expiry dates in documents you add (or you can set them manually) and notifies you well before passports, visas, insurance policies, and subscriptions run out. You control reminder timing in Settings.

The family vault lets you manage documents for your household — partners, children, and dependants — in clearly separated profiles, all stored on your device. You should only store records for family members you have the right to manage.

Subscriptions are billed through your app store account. To manage or cancel, open your device's subscription settings (on iPhone: Settings, then your name, then Subscriptions), select VaultMind, and choose the option you need. Cancelling stops the next renewal; you keep access until the current period ends.
