You trust VaultMind with the documents that matter most. This policy explains how that trust is protected — in plain language.

1. Overview
VaultMind is a private, AI-powered digital vault operated by BiggerMind Group. People trust VaultMind with their most important documents, so privacy is not a feature of the product — it is the product. This policy explains what information VaultMind handles, why, and the control you keep over it.
In short: your vault is yours. We do not sell your data, we do not mine your documents for advertising, and we design every feature to expose as little as possible.
2. Information we collect
- Account information — your name, email address, and authentication details.
- Documents you store — passports, contracts, certificates, receipts, and any other files you add to your vault.
- Identity records — identity document details and key personal records you choose to store.
- Private notes — sensitive notes you create within the vault.
- Expiry dates and reminders — dates you set, or that VaultMind detects in your documents, used to remind you before things expire.
- Family information — documents and records you manage for family members in your family vault.
- Technical data — device type, app version, and diagnostic information used to keep the service reliable and secure.
3. How we use your information
- To store your documents, notes, and records securely and make them available to you across your devices.
- To organise your vault with AI — automatically naming, categorising, and filing documents, and detecting expiry dates so you can be reminded in time.
- To send you the reminders you have asked for.
- To maintain security, prevent abuse, and diagnose technical issues.
- To respond to your support and data requests.
We do not sell or rent your data, and the contents of your vault are never used for advertising or unrelated profiling.
4. AI organisation
VaultMind's AI reads documents you add solely to organise them for you — assigning names, categories, and expiry reminders. AI processing happens only to deliver features you use, and its outputs stay inside your vault. AI suggestions can occasionally be wrong, so important details should be verified against the original document.
5. Security
VaultMind is built privacy-first:
- Your documents and notes are encrypted in transit and at rest.
- Access to production systems is strictly limited, logged, and reviewed.
- App access can be protected with biometric authentication on supported devices.
- We regularly assess our infrastructure against modern security standards.
6. Your control over your data
- Add, edit, and permanently delete any document, note, or record at any time.
- Request a copy of your data by contacting privacy@biggermindgroup.com.
- Delete your account and entire vault whenever you choose — see our Delete Account page for the exact process.
7. Family vault
Family vault spaces are created and managed by the account holder, who is responsible for having the right to store documents and records relating to family members. Information in your family vault is visible only within your account.
8. Data retention
We keep your vault for as long as your account is active. When you delete content it is removed from your vault immediately, and when you delete your account your data is removed from our active systems, subject to the limited legal and security retention described on our Delete Account page.
9. Changes and contact
We may update this policy as VaultMind evolves, and will communicate material changes in the app or by email. For any privacy question or request, contact privacy@biggermindgroup.com — privacy requests are acknowledged within 2 business days and completed within 30 days.
