FenMind

Privacy Policy

FenMind holds your plans, which are personal. This is everything it does with them, in plain terms.

Last updated: 9 October 2026

Your planner

Your tasks, routines and the pace FenMind has learned are stored in your account, so they are there on any device you sign in on. That means the title of each task, its steps, how long you estimated, how long it actually took, when it is scheduled, and whether it is done.

Other FenMind accounts cannot read your planner. The database checks ownership on every row. Authorized service providers process it to operate, secure and support the app.

A copy is kept on your phone as well, so FenMind works without a signal and catches up when you are back online. Signing out removes that copy.

Optional iCloud backups

On iPhone and iPad, you can turn on iCloud backup in Settings. FenMind then saves copies of your tasks, routines, routine runs and pace in your private Apple iCloud account through CloudKit. A copy includes your FenMind account identifier, a save time and integrity information. It does not separately attach your email address, password, sign-in tokens or audio recordings. Personal details you write inside a task are part of that task and its backup.

Backups run while the app is open and use your iCloud storage. Up to seven daily checkpoints are kept, with newer copies replacing older slots. Copies can remain longer than seven days if you stop using backup. Use the same FenMind and Apple accounts to recover missing items on another device. A backup is only confirmed when the app shows its saved time; no backup system guarantees that every unsaved change can be recovered.

Turning backup off or signing out of FenMind stops new copies on that device and keeps existing iCloud copies. Removing a task from your current planner does not remove it from an older backup. Use Remove my iCloud copies in Settings to delete this account’s copies from the Apple account on the device, or manage FenMind data in your Apple iCloud storage settings. Apple handles iCloud data under its privacy terms.

What FenMind learns from your planner

FenMind notices patterns in your own planner: what you do regularly and on which days, the time you usually do each thing and start each routine, how long particular things really take you compared with what you planned, how full each day of the week usually is, and the hours when you get the most done. It uses them to suggest the things you usually do, to fill in how long something will take, and to judge what a realistic day looks like for you.

It works these out on your phone, from the planner described above, and again whenever the planner changes. They stay on your phone and are not stored on their own, so deleting a task means FenMind stops learning from it. The one exception is described under “Turning what you said into a task”: a short note of how long kinds of things take you, sent with a capture when a model reads it. Your rhythm, in Settings, shows everything FenMind has learned.

Your account

When you create an account, FenMind stores your name, date of birth and email address with Supabase. Your name identifies your account, your date of birth is used for the minimum-age check, and your email is used for sign-in, confirmation and password recovery. These profile details are not added to planner exports or iCloud backups and are removed when you delete the account. You can request a copy or correction through support.

Brevo delivers sign-in codes, confirmation and password-reset emails for FenMind. It processes your email address, the email content and delivery information. Its current email settings may also record opens and link clicks, including related technical information, to support delivery and troubleshooting. These service emails are not advertising. Do not share confirmation links or codes with anyone.

Supabase provides FenMind’s database and email-code sign-in. Existing accounts can also sign in with a password. For password accounts, it stores a password hash rather than a readable password. FenMind does not keep your password in the planner or backups.

Supabase keeps your account and planner in the European Union, in Ireland.

Your choice about AI sharing

Voice and smart parsing are off until you turn on Allow OpenAI for this session. This choice allows the sharing described below for the current app session. It resets when the app restarts or you sign out. You can turn it off in Settings to stop future AI requests; a request already sent cannot be recalled. Typing and saving tasks remain available without AI sharing.

Voice notes

Voice notes are part of a subscription. When you record one, the audio is sent to OpenAI to be turned into text, and the text comes back to your phone as fields you can edit.

Nothing is recorded until you tap the microphone, and a clip shorter than a second is never sent. Each recording is deleted from your phone once FenMind has finished with it, and FenMind does not keep a copy anywhere else. FenMind does not separately attach your name, email address or account identifier. Personal details you speak in the recording are included in the audio sent for transcription.

If you never use voice notes, no audio ever leaves your phone.

Turning what you said into a task

Reading a capture with a model is also part of a subscription. When it is on, the words of a capture — typed or spoken — are sent to OpenAI to be read into a title, a duration and any steps.

Only that one capture is sent. Alongside it goes a short note of how long things of that kind usually take you, in fixed words rather than your own: for example “cleaning, washing and tidying: about 25 minutes”. Your other tasks and their titles are not sent. FenMind does not separately attach your name, email address or account identifier; anything personal you type or say in this capture is included. How long that particular thing usually takes you is filled in afterwards, on your phone.

Without a subscription, FenMind reads a capture on your phone with its own rules, and nothing is sent.

Voice notes and captures go through FenMind’s own server, which holds the key, so your phone never contacts OpenAI directly. OpenAI processes them to provide the requested feature. Its audio transcription endpoint does not retain audio after processing. For smart parsing, FenMind requests no stored chat completion; OpenAI may retain API abuse-monitoring data for up to 30 days by default, or longer where its legal or safety requirements apply. Processing may take place in the United States. OpenAI does not use API data to train its models by default.

Subscriptions

If you subscribe, the payment is handled by Apple, or by Google Play on Android. FenMind never sees your card details.

FenMind uses RevenueCat to check whether a subscription is active. RevenueCat receives an identifier for you — your FenMind account identifier once you are signed in, a random one before that — along with the subscription’s status and purchase history from the store, and handles them under its own terms. RevenueCat is based in the United States. For subscription checks, nothing about your tasks is sent to RevenueCat, Apple or Google.

A subscription buys a faster way in — speaking instead of typing, and a model reading the sentence. Writing tasks, building routines, running them, the pace check and reminders are free and always will be.

Reminders

Notifications are scheduled by your own phone, from tasks already on it. Nothing about them is sent anywhere, and FenMind has no push service.

Keeping it running

Like any online service, the servers FenMind uses see the network address each request comes from and keep it in short-lived logs, to keep the service secure and working. FenMind does not use it for anything else.

Fair use of voice and smart parsing

Before processing a capture, FenMind checks your account and subscription. It keeps request counts with your account identifier, the feature used, and minute, day and month windows. These counts enforce the included AI allowance and limit excessive use; they contain no task text, audio or transcripts and are not used for analytics.

Minute and day counts older than two days, and monthly counts from earlier calendar months, are removed the next time you use a paid feature. If you stop using those features, the counts remain until your next use or account deletion. Deleting your account removes them.

What FenMind does not do

There is no advertising or tracking across apps or websites, and FenMind does not sell your information. FenMind does not use a general app-usage analytics SDK. RevenueCat provides subscription reporting from purchase history, such as renewals and cancellations, to help us understand and operate the subscription service. FenMind does not use your plans to train AI models, and what it learns from them is used only to plan your days.

How long things are kept

Your planner stays in your account until you change or delete it, or close the account. Deleting something removes it from the database straight away, though copies can remain for a limited time in the backups our database provider keeps, until those backups are replaced.

Emails you send to support are kept for as long as they are needed to help you. Subscription and purchase records held by Apple, Google and RevenueCat may remain after account deletion under their retention terms, including for tax, accounting, fraud prevention and subscription management.

Getting your data, or removing it

When you delete your FenMind account, the iOS app also tries to remove its backups from the Apple account on that device. If iCloud cannot be reached, or you made copies using a different Apple account, those copies remain under your control. Remove FenMind data through the relevant Apple account’s iCloud storage settings. Files you exported remain wherever you saved them.

Settings will export your planner as a file you can keep.

Deleting your account in Settings removes your tasks, routines, runs and pace from the database and closes the account. It happens when you confirm it, rather than as a request someone processes later, and it cannot be undone.

Deleting your account does not cancel a subscription, which belongs to your App Store or Google Play account. Cancel it there to stop it renewing.

You can also write to support@biggermindgroup.com to ask for a copy of your information, to correct it, or to delete it. Requests are acknowledged within 2 business days and completed within 30 days.

Why we use information and your rights

Where UK or European data-protection law applies, we use account and planner information to provide the service you request (contract). Optional AI sharing and iCloud backup use your consent. Security and abuse prevention support our legitimate interest in protecting the service. We may also keep records required by law. You can stop optional processing without losing typed capture.

You can request access, correction, deletion or a portable copy of your information. Where applicable, you can object to processing, ask us to restrict it, or withdraw consent without affecting earlier lawful processing. Contact support@biggermindgroup.com. You can complain to your local data-protection authority; in the UK this is the Information Commissioner’s Office at ico.org.uk. Planner suggestions do not make legal or similarly significant decisions about you.

Our service providers may process information outside your country, including in the United States. Contact us for details of the providers and applicable international-transfer protections. Apple’s handling of optional iCloud storage also depends on your Apple account and its privacy terms.

Children

FenMind is not directed at children and does not knowingly collect anything from a child under 13.
